Stop Retyping Scale Tickets.

Every load already printed a ticket. We build AI workflow automation that moves those numbers straight into your invoices and reports, checked and clean, with no one re-keying anything.

The corporate giants that keep swallowing independent pits run enterprise systems with full-time IT departments behind them. The independent producer gets a choice between five-figure-a-year software built for the majors, or paper tickets and retyping. We think that's a rigged game. Vexion Systems builds custom automation priced for the independent operation, built around the scale house you already run, so the family pit competes on tooling instead of just surviving without it. We aim to serve as an example of how AI should be used.

The Hours Worth Getting Back

Even a sharp, well-run operation loses time to the same numbers being entered by hand into three systems that don't talk to each other. Automating those hand-offs gives the hours back, and catches the errors that slip through before they ever reach a customer.

Problem 01

Re-Keying Scale Tickets Into Invoices

Every load across the scale prints a ticket: material, tons, truck, customer. Then someone in the office types those same numbers into QuickBooks, line by line, all month. One mistyped ticket becomes a wrong invoice or a disputed load.

What we build: Automation that reads your tickets and builds the invoices for you, at each customer's contracted rates, down to the penny. Nobody re-types anything, and every invoice comes out as a draft for your review before it sends.
Problem 02

E-Ticketing Deadlines Coming at You

State DOTs are phasing out paper tickets on public jobs, and the list of states requiring electronic tickets keeps growing. The official platforms are built and priced for the majors, and switching your whole operation to one is a project nobody has time for.

What we build: E-ticket compliance built around the scale house you already run. Your tickets go digital to the spec your state requires, without replacing your scale system and without an enterprise contract.
Problem 03

Three Systems That Don't Talk

Your scale head, your spreadsheets, and your accounting software all hold the same numbers, and none of them sync. So the same figures get entered two or three times in different places.

What we build: We connect the systems you already use so the data flows between them automatically. We never replace your scale system, we just stop you from typing the same thing into all of them.
Problem 04

Hauling Reconciled by Hand

Third-party truckers turn in their own tickets, and someone matches them against your loads, figures the freight, and adds it to the right invoices by hand. Miss one and you eat the freight or fight about it.

What we build: Automation that matches hauler tickets to loads, calculates the freight per your rates, and puts it on the right invoice, with mismatches flagged for a person instead of guessed at.
Problem 05

Pricing That Lives in Someone's Head

Per-customer deals, per-material rates, and job quotes live in a spreadsheet or in the owner's memory. When the wrong rate hits an invoice, you find out from an angry contractor.

What we build: One rate table that drives every invoice. Change a price in one place and every future ticket bills correctly, and anything billed off-rate gets flagged before it goes out.
Problem 06

Mistakes Caught Too Late

A tonnage that doesn't add up, or a rate that doesn't match the customer, usually isn't caught until the invoice has already gone out wrong, and now you're clawing it back from a contractor.

What we build: Every number runs through a set of accuracy checks before anything is finalized. Anything that doesn't add up gets flagged for a person to look at, so errors get caught before they ever reach a customer.

From Discovery Call to Running System

We don't hand you software to figure out yourself. We build the system, connect it to the tools you already use, and hand you something that runs.

01

Discovery Call

We spend 30 minutes understanding your operation. What you run at the scale, where the data lives, and where the hours go. No pitch, just questions.

02

System Design

We map out exactly what gets built, how it connects to your existing systems, and what changes in your workflow. You see the full plan before we start.

03

Build and Test

We build the system, run it against your real numbers and every edge case we can find, and confirm it matches what a person would produce by hand. No surprises after go-live.

04

Go Live and Optimize

The system goes live on your schedule, in draft mode so a person approves everything at first. We monitor it closely and adjust as your operation grows.

What Producers Ask Before Getting Started

Do you replace our scale system or ticketing software?

No. We never replace what your scale house runs. We connect to it and move its data where it needs to go, so you keep what works and lose the manual entry.

What if we just use paper tickets, spreadsheets, and QuickBooks?

That is a perfect fit. We read straight from your tickets and spreadsheets. The more of your day that is manual right now, the more we take off your plate.

We're on QuickBooks Desktop, not Online. Does that work?

Yes. Most operations run Desktop, and we build for it through Intuit's own Web Connector bridge, so sales and payments flow into your books without retyping. Most subscription apps only talk to QuickBooks Online, if they connect to QuickBooks at all.

Our state is moving to e-ticketing on DOT jobs. Can you help?

Yes. State DOTs are phasing out paper tickets on public work, and the official platforms are priced for the majors. We build e-ticket compliance around the scale house you already run, so you meet the requirement without switching to an enterprise system.

Will AI touch our invoices without us seeing them?

Never. Every invoice comes out as a draft that a person approves before it sends. Nothing goes to a customer on its own.

We're not very tech-savvy. Is this for us?

Especially for you. We build it, connect it to what you already use, and hand you something that just runs. There is no new software for your team to learn.

Will AI make mistakes on our billing?

AI is how we build the system affordably, but it never sits on top of your numbers. The system cross-checks the figures against each other and against your source records (loads, weights, rates, totals), and flags anything that doesn't line up, so mistakes get caught before they ever reach a customer.

What does it cost, and how do we get started?

Every operation is different, so we don't quote blind. We learn your workflow on a short discovery call, then give you a clear, flat quote for exactly what you need. No pressure to find out what it would take.
