At Vexion Systems, we're big supporters of local food. We've been fortunate to team up with a handful of meat processors to automate parts of their office workflow, so small, local processors can spend less time on data entry and more time running their plant.

Re-Keying the Kill Sheet Into Invoices

After every kill, someone sits down and types the same weights, cuts, and customers off the kill sheet into QuickBooks, line by line. It takes hours, it happens every kill day, and one mistyped number becomes a wrong invoice.

What we build: Automation that reads your kill sheet and builds the invoice for you, down to the penny, on the right template for each customer. Nobody re-types anything, and every invoice comes out as a draft for your review before it sends.

Yield Reports Built by Hand

To produce a yield report, someone pulls weights out of your tracking system or spreadsheets and rebuilds it from scratch: carcass in, cuts out, percentages calculated. It takes time, and it is easy to get wrong.

What we build: Automation that pulls those numbers straight from wherever they live and assembles the yield report for you, by lot, cut, and customer, with the math already done and cross-checked.

Three Systems That Don't Talk

Your floor or inventory system, your spreadsheets, and your accounting software all hold the same numbers, and none of them sync. So the same figures get entered two or three times in different places.

What we build: We connect the systems you already use so the data flows between them automatically. We never replace your floor system, we just stop you from typing the same thing into all of them.

Online orders and wholesale orders come in and get picked, packed, and keyed into your books by hand, instead of flowing through to a pick list and an invoice on their own.

What we build: Automation that turns incoming orders into pick and pack lists, packing slips, and invoices automatically, and keeps your online store and your books in sync.

Kill Dates on a Wall Calendar

Booking drop-offs, confirming appointments, and managing the waitlist runs on phone tag and a paper calendar. It eats your front-office time, and slots still slip through.

What we build: An online booking and reminder system for kill dates. Customers book and confirm, the waitlist manages itself, and your calendar stays full without the phone tag.

Mistakes Caught Too Late

A side weight that doesn't add up, or a rate that doesn't match the animal, usually isn't caught until the invoice has already gone out wrong, and now you're clawing it back from a customer.

What we build: Every number runs through a set of accuracy checks before anything is finalized. Anything that doesn't add up gets flagged for a person to look at, so errors get caught before they ever reach a customer.

Game Season Runs on a Clipboard

Hunters show up after hours, so someone drives to the plant to meet them, takes cut instructions on paper, and writes the deposit on the ticket. Every drop-off costs a trip, and season is when you can least afford them.

What we build: An after-hours drop-off page under your own domain. The hunter fills in his information and his cut sheet from his phone at the cooler door and pays the deposit by card. You see the whole intake in the morning.

Deposits and Pickups Tracked by Hand

Deposits get handwritten on the invoice, and when orders are ready someone works down the list calling customers one by one. Some don't answer, and finished orders sit in the freezer taking up room.

What we build: Deposit and payment tracking for every customer type, and ready-for-pickup notices that go out by text, email, or a real phone call, set to how each customer wants to hear it.

What Processors Ask Before Getting Started

Do you replace Vistatrac or PPS?

No. We never replace the system your crew runs on the floor. We connect to it and move its data where it needs to go, so you keep what works and lose the manual entry.

What if we just use spreadsheets and QuickBooks?

That is a perfect fit. We read straight from your spreadsheets and kill sheets. The more of your day that is manual right now, the more we take off your plate.

We're on QuickBooks Desktop, not Online. Does that work?

Yes. Most plants run Desktop, and we build for it through Intuit's own Web Connector bridge, so sales, deposits, and payments flow into your books without retyping. Most subscription apps only talk to QuickBooks Online, if they connect to QuickBooks at all.

Will AI touch our invoices without us seeing them?

Never. Every invoice comes out as a draft that a person approves before it sends. Nothing goes to a customer on its own.

We're not very tech-savvy. Is this for us?

Especially for you. We build it, connect it to what you already use, and hand you something that just runs. There is no new software for your team to learn.

Will AI make mistakes on our billing?

AI is how we build the system affordably, but it never sits on top of your numbers. The system cross-checks the figures against each other and against your source records (head counts, weights, rates, totals), and flags anything that doesn't line up, so mistakes get caught before they ever reach a customer.
